Terms of Service

Last updated 19 September 2026

These terms are under review. They describe how we operate today, and we will post the reviewed version here when it is ready.

These Terms of Service (“Terms”) govern your access to and use of Infacta Account — the central account and club-management service — and of the Infacta products it signs you in to: ClubCards, FloorTime and CampGenie. Infacta is a registered business name of Groupmail Ltd. (registered in Ireland, company no. 284930, registered office Unit 15, SocoLab, Strandhill, Co. Sligo, F91 E426, Ireland) (“Infacta”, “we”, “us”). By using the service, you agree to these Terms.

Almost everything below applies to every Infacta product. Where one product differs, the difference is set out in a marked block naming that product, and for that product the marked block applies instead of the general rule.

Who can use Infacta products

To hold an Infacta account you must be at least 18 years old. If you manage a club, society or organisation (your “Club”) here, you must be authorised to act on its behalf. You agree to give accurate account information and to keep it up to date.

Infacta products are currently invite-only: club accounts are created by us, and you join a club by invitation from its admins.

Some people take part without holding an account at all — a guardian registering a child for a camp, or someone scanning a credential to check it. They use a link rather than a sign-in, and these Terms govern that use too.

One account for every Infacta product

Your Infacta account is the identity you use across Infacta products. Signing in to a product signs you in with this account, and the clubs, roles and access managed here determine what you can do there.

Accounts and security

You are responsible for activity under your account and for keeping your credentials secret. Tell us promptly if you believe your account has been compromised.

Within a Club, owners and admins control who is invited, the roles people hold and the products they can access. The Club is responsible for who it invites and what access it grants — including who can see the more sensitive information a product holds.

The service

Infacta Account is the central account and club-management service for Infacta products: sign-in, your profile, your clubs and their people, invitations, roles and product access, and your club’s shared identity (name, crest and colours) which the products inherit. Each product adds what it is for on top of that shared foundation.

ClubCards

Lets a Club create products and issue digital credentials — membership cards, passes and event tickets — and deliver them to people by personal link, mobile wallet and printable PDF. Each credential has a public scan-to-verify page showing its current status.

FloorTime

Lets a Club manage the venues and spaces it hires — courts, pitches, halls, lanes — and the sessions its coaches book in them across a season, with the teams, seasons and closures behind that. A Club may publish a read-only schedule at a public address.

CampGenie

Provides registration, payment and organisation for the camps and trips a Club runs: a public event page, multi-child registration with a per-child form, capacity and waitlists, payment, the registration and family records behind them, and the lists, groups and messages an organiser needs once the event is sold.

The Club is the organiser and the merchant of record. We are not a party to the contract between a Club and a family, and we do not run, staff or insure any camp or trip.

We may add, change or remove features over time, and we may set reasonable limits on use of the service.

Credentials and verification

This section applies to ClubCards alone; no other Infacta product issues credentials.

ClubCards

Credentials are defined, issued, suspended and revoked by the Club. The verification page reflects a credential’s status — for example valid, expired, used, suspended or revoked — at the time it is scanned.

ClubCards provides the platform; we do not guarantee that any credential grants a real-world entitlement. Whether a credential entitles someone to membership, entry or any benefit is a matter between the Club and the holder.

Your data and the people you add

You are responsible for the information your Club enters, including the personal data of the people you invite and of anyone your Club records in a product. By adding someone, you confirm you have the right to do so.

Data protection

Where your Club enters or collects personal data about other people — members, credential holders, guardians, children or venue contacts — your Club is the controller and we are your processor. Our Data Processing Agreement governs that processing and is incorporated into these Terms. Our Privacy Policy explains how personal data is handled more widely, including what is shared with the products your clubs use.

Infacta products are hosted in the European Union. You are responsible for having a lawful basis, and any consent you need, for the data your Club enters — including where the people it concerns are children.

Acceptable use

When using Infacta Account or any Infacta product you agree not to:

Each product serves pages to people who are not signed in. Those pages are part of the platform, and scraping, overloading or disrupting them breaches these Terms exactly as the signed-in parts do:

ClubCards

The public scan-to-verify page for a credential.

FloorTime

The public schedule a Club publishes at its share address.

CampGenie

Public event pages, and the family links sent to guardians so they can see and correct what they entered.

Fees

Infacta Account is provided free of charge. Where a product takes money, it takes it on the Club’s own behalf and not on ours.

ClubCards and CampGenie

Where your Club sells memberships, passes, tickets or camp places, your Club is the seller and merchant of record — the contract of sale is between your Club and the buyer, not with us. Payments are processed by Stripe on your Club’s own connected Stripe account and settle to your Club, subject to Stripe’s terms. Your Club sets its prices, its refund practice and its cancellation terms, and is responsible for honouring them.

We charge your Club a booking fee on each paid order. Depending on your Club’s fee setting, that fee is either shown to the buyer as a separate line at checkout or included in the price your Club sets and deducted from what your Club receives. Free registrations carry no fee. Where your Club refunds an order through the product, our booking fee is returned pro-rata on the refunded amount. Stripe’s own processing charges are a matter between your Club and Stripe, and disputes and chargebacks on a sale are handled by your Club through its own Stripe account.

FloorTime

FloorTime takes no payments at all — there is no checkout, no connected Stripe account and no booking fee. It is free to use while it is being built, and we will show you the pricing before anything is charged.

Third-party services

Some features rely on third parties — including hosting, file storage, email delivery, payment processing and mobile wallets. Those services are subject to their own terms, and their availability is outside our control. The providers that process personal data on our instructions are listed on our Sub-processors page.

Intellectual property

We own the Infacta platform, its products, software and brands. Your Club keeps ownership of its name, crest, colours and the data it enters. You grant us a limited licence to host, display and process that content only as needed to provide the service — including showing your Club’s identity in the Infacta products it uses.

Suspension and termination

You can stop using the service at any time. Because this account signs you in to every Infacta product, closing it ends your access to those products too. We may suspend or terminate an account that breaches these Terms or that creates a security, legal or operational risk. On termination we may delete account data, subject to our Privacy Policy, our Data Processing Agreement and applicable law.

Disclaimers

The service is provided “as is” and “as available”. To the extent permitted by law, we make no warranties that it will be uninterrupted, error-free or fit for a particular purpose.

Limitation of liability

To the maximum extent permitted by law, Infacta is not liable for indirect, incidental or consequential loss, or for loss arising from a Club’s own data or decisions — including who a Club invites and the access it grants. Nothing in these Terms limits any liability that cannot be limited by law.

In each product that boundary falls in a particular place:

ClubCards

We are not liable for loss arising from a Club’s own credentials, data or decisions.

FloorTime

We are not liable for a session that goes ahead, or does not, contrary to what the calendar shows.

CampGenie

We are not liable for how a camp is run, staffed or supervised, or for any act or omission by a Club or its volunteers.

Changes to these Terms

We may update these Terms from time to time. If we make a material change we will give reasonable notice. Continuing to use the service after a change takes effect means you accept the updated Terms.

Governing law

These Terms are governed by the laws of Ireland, and the courts of Ireland have exclusive jurisdiction over any dispute, without affecting any mandatory consumer protections available to you locally.
